What to bring:
1. Warm clothing for outside. At Upper Canada Village you will be
taking a wagon ride for an overall view of the village. Only about 20 people can go on a wagon at a time so the others will be walking around to see the lights until it's their turn. You need to have boots that are waterproof. Since this is a village that looks as if it existed in the 19th century, none of the roads or paths are paved. You need to have hats, mitts or gloves and scarf. To find out more about Upper Canada Village, check http://www.uppercanadavillage.com/night.htm

2. Overnight change of clothing and toiletries.

3. Bathing suit. The Comfort Inn has a new salt water pool that we
will be able to use in the afternoon or on our return from Upper Canada Village.

4. A gift that can be for either a boy or a girl and does not cost more
than $10.00 for the gift exchange. This is only for the students, not the adults.

5. Your travel pass and a cheque for $50.00 CAD or $45.00 US.

6. We are thinking of doing a photo exchange and will have computers
ready to do this. Bring your cameras, memory sticks, etc.

7. Students will be sleeping 4 to a room. If you do not want to share
a bed with someone, bring a sleeping bag. Adults will be accommodated as requested.

For YE chairpersons or counsellors: We will be able to accommodate adults that are transporting students at the same rate per person as the students .
If you want to join us for supper and festivities at UCV and stay overnight, please let us know as soon as possible so that we can book the rooms and the meals. The bus to take us to Upper Canada Village will only take 46 people so some of you may need to be prepared to drive.

IMPORTANT FOR EVERYONE: If you do not contact us by November 22 we will not be able to buy a prepaid ticket to UCV and we will need to line up at the ticket booth.

Short Term Exchange Program - New Rule

While D7040 was conducting the training program for club youth exchange chairs, etc. this past weekend at Camp Laurent, Ogdensburg, Rotary International was changing the rules we were teaching.

Hot off the presses: Although hosting an exchange student must be voluntary for long-term exchanges, the voluntary aspect is no longer required for short term exchange. Accordingly, in the family to family short term exchanges, hosting may be required for the reciprocal component.

Please contact me if you have any questions.

Dist. Conference and Outbound Packet Information

IMPORTANT INFORMATION for Club Chairs, Club Counselors, Club Presidents, Students, and District Committee from Kevin Laplante, D7040 Chair, Youth Exchange Program

District Conference, October 13 -15

The second scheduled Youth Exchange event for 2006-07 will be the combined District Conference / Youth Exchange Halloween Weekend. This will be held in Mt. Tremblant, QC the weekend of October 13-15, 2006. Student registrations for this weekend must be accomplished prior to the event. Forms and instructions will be available on the Conference Web Page, which is linked to the District Web Page www.rotary7040.com. Please note that students will be staying at Ski-Le-Gap for the weekend, and not at the conference hotel. This results in the reduced registration fee of C$150. per student for the weekend. This is a required event for inbound students, and optional for returned and 2006 short-term exchange students.

The new 2006-2007 Outbound Student Application packets were distributed to clubs in attendance at the Ogdensburg Training Session held on 9/10/06. Electronic versions of the outbound packets are now available, and may be requested from the District Youth Exchange Chair (see email on the side bar). It should be noted that although club certification is technically not required until 7/1/07, D7040 is requiring the clubs planning to participate in the 2007-08 exchange year be certified on or before January 1, 2007. This earlier date is necessary since we will only be permitted to place students with clubs that have been certified. Clubs that send a student(s) outbound are required to host an inbound student(s). A club can usually host an inbound student without sending one outbound. The District begins formalizing placements, for both inbound and outbound students, after the final applications are received for the new outbound students on December 15. Accordingly, clubs not properly certified by January 1, 2007 will not be permitted to either send or receive a student after that date.

Please review the 2006-2007 Youth Exchange Calendar of Events. It is a club's responsibility to ensure that your students attend, as attendance at all scheduled District events is required as indicated on the calendar. Don't forget to include your return students as well.

Students will need to bring the following:
Rotary Blazer and dress pants or skirt
Traditional Country Costume if you have it
Clothes for warm and cool weather
Halloween Costume (host families please help)
CD’s to play if you’d like to share
Raffle tickets to sell

Please visit the D7040 YE website http://ye.rotary7040.com for additional information, and do not hesitate to contact me if you have any questions. See you in Mt. Tremblant!
