Rotarians know how to face a challenge. At the best of times development and fundraising projects come with hurdles. Every club is sure to have stories about them. Conundrums. Challenges faced when working hard to get things done. Then there are challenges that really leave people scratching their heads. This year the Rotary Club of Gananoque faced one of those kinds of challenges.
It was nearing the first weekend of November, the week before the Club’s 29th annual Christmas Craft Fair. Expectations were high. Everyone was eager help make up for two years of pandemic fundraising paralysis following one successful summer Ribfest fundraiser.
The venue was booked. Food, tables and floor mats were ordered. Promotion was going strong. 80 craft vendors were on their way. The sign-up sheet for volunteers was full. Raffle baskets and 50/50 draws were ready.
Then came the announcement. Five days prior to the Rotary Club of Gananoque Christmas Craft Fair, news came of a possible province-wide labour strike by school support staff in Ontario. If the strike proceeded, schools across the province would close. No community use would be permitted. The venue for the fair would be cancelled.
In response, the organizing committee held an emergency meeting. They began scouring the town of Gananoque for alternate venues; but by Tuesday night it was clear. There were no other venues in Gananoque big enough or suitable enough to house the event. By Wednesday the high school announced that the club’s permit for community use was rescinded.
Improvise. Adapt. Overcome. A second emergency meeting was called. Since no indoor venue was available a quick plan was devised to move the entire event outdoors. The Town Hall Park was available and the weather was predicted to be unseasonably warm and dry. The schedule was reduced to one day from two and soon the park was secured for use.
Vendors were contacted, advised of the changes and asked if they would participate in the revised Saturday event. Rental agreements for chairs, tables, and carpets were cancelled. The food plan was reworked to include a BBQ and a tent. To ensure washroom access, an agreement was made with the local library to extend their hours for vendors.
In the end 40 vendors signed up and the Gananoque Rotary Christmas Craft Fair was reborn. The outdoor Craft Fair proved to be a great success! The weather cooperated. The vendors were pleased. Most importantly, townspeople and visitors came out in good numbers to enjoy the atmosphere, buy some gifts and mingle in the the park.
In the end the Craft Fair Committee proved how amazingly adaptable and flexible Rotarians can be and what can be achieved through perseverance and hard work in the face of adversity. Midst the holiday spirit of faith, hope, joy and peace we also celebrate the virtue of fortitude.
Les Rotariens savent faire face à un défi. Dans le meilleur des cas, les projets de développement et de collecte de fonds s’accompagnent d’obstacles. Chaque club est sûr d’avoir des histoires à leur sujet. Énigmes. Les défis rencontrés lorsque vous travaillez dur pour faire avancer les choses. Ensuite, il y a des défis qui laissent vraiment les gens se gratter la tête. Cette année, le Rotary Club de Gananoque a fait face à l’un de ces types de défis.
Il approchait du premier week-end de novembre, la semaine précédant la 29e foire annuelle de l’artisanat de Noël du Club. Les attentes étaient élevées. Tout le monde était impatient d’aider à rattraper deux ans de paralysie de la collecte de fonds pandémique à la suite d’une collecte de fonds estivale réussie ribfest.
Le lieu a été réservé. De la nourriture, des tables et des tapis de sol ont été commandés. La promotion allait fort. 80 vendeurs d’artisanat étaient en route. La feuille d’inscription des bénévoles était pleine. Les paniers de tombola et les tirages 50/50 étaient prêts.
Puis vint l’annonce. Cinq jours avant la foire artisanale de Noël du Club Rotary de Gananoque, on a appris qu’une possible grève du personnel de soutien scolaire en Ontario avait fait l’objet d’une possible grève du travail à l’échelle de la province. Si la grève se poursuivait, les écoles de toute la province fermeraient leurs portes. Aucune utilisation communautaire ne serait permise. Le lieu de la foire serait annulé.
En réponse, le comité organisateur a tenu une réunion d’urgence. Ils ont commencé à parcourir la ville de Gananoque à la recherche d’autres lieux; mais mardi soir, c’était clair. Il n’y avait pas d’autres lieux à Gananoque assez grands ou assez appropriés pour accueillir l’événement. Mercredi, l’école secondaire a annoncé que le permis du club pour une utilisation communautaire a été annulé.
Improviser. S’adapter. Surmonter. Une deuxième réunion d’urgence a été convoquée. Étant donné qu’aucun lieu intérieur n’était disponible, un plan rapide a été conçu pour déplacer l’ensemble de l’événement à l’extérieur. Le parc de l’hôtel de ville était disponible et on prévoyait que le temps serait anormalement chaud et sec pour la saison. L’horaire a été réduit de deux à un jour et bientôt le parc a été sécurisé pour une utilisation.
On a communiqué avec les fournisseurs, on les a informés des changements et on leur a demandé s’ils participeraient à l’événement révisé du samedi. Les contrats de location de chaises, de tables et de tapis ont été annulés. Le plan alimentaire a été retravaillé pour inclure un barbecue et une tente. Pour assurer l’accès aux toilettes, une entente a été conclue avec la bibliothèque locale pour prolonger ses heures d’ouverture pour les fournisseurs.
